The main window of MailCall has 3 buttons across the top:
• Check for Messages - forces MailCall to check for messages even if it isn't scheduled to.
Stop Checking - same button as Check for Messages but stops MailCall from checking for messages.
• Account Setup - setup the email accounts to be monitored.
• Preferences - customize the way MailCall runs.
Below the 3 buttons at the top is a dark bar which displays two messages: Last Update and Next Update.
• Last Update - the last time that MailCall checked for messages.
• Next Update - the next scheduled update.
Below the update indicators is the account list. This list contains all the active email accounts that MailCall is set to monitor. When MailCall is checking a specific account its name will appear in bold. After the account has been checked its name will no longer be bold and the number of messages for that account will be to the right of the account name. Sometime you may not see a number there but instead it will have one of the following errors in place of the number:
• "-" - this account has not been updated.
• BA - bad account ID. The account that you have tried to access has returned a bad account ID from the mail server. Please make sure that this has been entered correctly in the Account Setup.
• BP - bad password. The account you have tried to access has returned a bad password from the mail server. Please make sure that this has been entered correctly in the Account Setup.
• TO - time out. The account has timed out. This could be because the mail server is not responded or your connection has been dropped. MailCall will try to access accounts that have timed out when it executes again at the scheduled time.
• Error - there was an error in attempting to connect and talk with the mail server. This could be because the mail server does not exists so please make sure the mail server is correct in the Account Setup.
Creating and Managing Email Accounts to Monitor:
Use the Account Setup to manage your email accounts in MailCall. To access the Account Setup window click on the Account Setup button in the main window, or choose Account Setup from the File menu (cmd+E). You will be presented with a window that contains a list of email accounts (this will be empty if you have not yet created any accounts). There are 3 buttons at the bottom of the window: New, Edit, and Delete. The New and Edit buttons both bring up the Edit Account window. In this window you will enter the requested information about your email account (this information is given to you by your ISP or email provider).
• Account Name - the name at which MailCall will identify this account with. You can use anything here such as "MyMail".
• Mail Server - the mail server's address that you connect to in order to retrieve your mail. Example: mail.myplace.com.
• Port - the port on which your mail server is running. If you are not sure of this leave it at 110.
• Account ID - your username on the mail server. If your email address is: myname@myplace.com then your account ID will most likely be: myname.
• Password - the password to your email account.
• MailBox Name (IMAP accounts only) - the name of the mailbox that you would like to monitor. This will most likely be Inbox.
After you have entered all the correct information press the Save button. You will return to the Account Setup window and your new or Edited account will be show in the account list with a checkbox to the left of it. This checkbox determines whether or not MailCall monitors this account. To delete an account just select it from the list and press the delete button. NOTE that you cannot edit or create accounts while MailCall is checking for mail. This is all it takes to create new accounts and edit existing ones.
Setting Up to Monitor a Yahoo! Mail Account:
If you have a Yahoo! Mail account that you would like to monitor with MailCall, all you have to do is fill out a form (you may have already done this) for Yahoo! To do this follow these instructions: Sign into your Yahoo! Mail account. On the left side you will see a list of commands (compose, check mail, etc...). In this list you want to click on "Options". After you click options find and click on "POP Access & Forwarding". If there is a form then fill it out, if there isn't a form then you have probably already filled it out at an early time. Now all you have to do is create an account in MailCall like any other email account you might have with the follow information:
• Mail Server - pop.mail.yahoo.com
• Account ID - your Yahoo! email name (yourname@yahoo.com, the account ID is yourname)
• Password - the password to your Yahoo! mail account
Retrieving POP3 Account Mail Headers:
MailCall gives you the ability to check the headers of any POP3 email account. What this means is that after you have been notified of having mail you can use MailCall to see who the mail is from and what the subject is before having to open your big email application. To get this information just click on the arrow that appears next to the account name in the main window. A set of spinning arrows will appear at the top right of the window which indicates that MailCall is in the process of retrieving the headers for you. Holding down the option key while double clicking on a header will show the information in a seperate window in case parts are cut off in the main window.
Note that headers can only be retrieved from one account at a time so you will have to wait for it to finish before trying to access another account's. IMAP account headers are not yet supported. Schedule Tab in the Preferences:
The Schedule tab in the preferences window allows you to set MailCall to monitor your email accounts on a customized schedule.
• Loop - this option must be enabled in order to have MailCall check for mail on a regular schedule automatically.
• Minutes - this is how often you want MailCall to check for new mail in your accounts.
• Loop Continuous - if this is enabled then MailCall will always be checking for new mail without any breaks in between.
• Check for Mail on Launch - with this enabled MailCall will start checking for your mail right when you open it so that you do not need to press the Check for Messages button.
• TimeOut - with this enabled MailCall will timeout if an account is not responding after the specified time. MailCall will try to check that account again on its next scheduled check.
• TimeOut Time - the amount of time MailCall should give to an account before it times out.
Notification Tab in the Preferences:
The Notification tab allows you to set specific options on how you want MailCall to notify you of new mail.
• Notify When - When do you want to be notified of new mail.
+ Never - MailCall will never notify you of mail. This allows you to check in anytime to see when it has arrived.
+ Account has any messages - MailCall will notify you whenever any of your email accounts that it is monitoring have any mail waiting. If this option is enabled MailCall will continue to notify you each time it checks for mail and some exist.
+ Account has new message - MailCall will notify you whenever an account has received a new message since it last checked. If this option is enabled then MailCall will only notify you if more mail has been received since the last time it checked.
• Notification - How do you want to be notified.
+ Play Sound - This popup menu contains a list of the sound files that are in your Sounds folder (same directory as MailCall). You can have MailCall play any sound to notify you. If you do not want it to play a sound then choose None from the list. The button next to the popup menu allows you to preview the selected sound.
+ Flash Icon - MailCall will flash its icon in the application menu (upper right corner of the menu bar).
+ Display Message - MailCall will display a message to you no matter what application you are in.
+ Message - Customize the message that will be presented to you with the Display Message option.
Tools Tab in the Preferences:
The Tools tab allows you to set up the Tools window and its behavior.
• Show Tools Window - display a window that will be show in all applications. This Tools window allows you to: bring MailCall to the front, Open your favorite email application, and display the stats of your email accounts no matter what application you are currently in.
• Stacked - stack the 3 buttons in the Tools window so it is taller and not as long. Try out both and see which you like best.
• Only When in Background - display the Tools window only when MailCall is not the front most application and hide the Tools window when it is the currently active application.
• Email Application Set - press the Set button to choose your favorite email application that you would like MailCall to launch for you.
• Double-Click Launches Email App - with this enabled if you double click an account in the MailCall window it will automatically launch your set email application like the Tools window does.
Tools Window:
The Tools window will be displayed in all your applications if it is turned on. On the tools window there are 3 buttons:
• Show MailCall - bring MailCall to the front and make it the active application.
• Open Mail App - launch the email application that you have set in preferences.
• Stats - display the stats of your email accounts in all applications.
